/The brief

A board-led conference that needed a steady hand on execution.

ProductBC is BC's leading non-profit for product professionals — a community of 4,200+ members with a flagship annual conference that had been growing year over year.

For 2025, they had a theme (Evolution: The Journey from Now to Next), an ambition (their biggest and best conference to date), and a board-led model that needed a steady hand on execution. They brought in Mayne Assembly to take it from concept to conference — covering everything from the first planning meeting to the last session of the day.

/What we assembled

A conference rebuilt from the ground up.

We rebuilt the conference from the ground up, holding the throughline across the entire planning cycle — bi-weekly board meetings in the early phase, shifting to weekly check-ins as the date approached. That included sponsorship strategy and package development, researching, writing, and designing the formal prospectus used to approach corporate partners, as well as reviewing venue options and confirming UBC Vancouver, managing that relationship through to execution.

On the digital side, we built and managed the conference's website on Pheedloop — session listings, speaker profiles, and attendee communications — and introduced the Pheedloop mobile app to ProductBC for the first time, managing its implementation, configuration, and rollout. We sourced, briefed, and followed up with all 13 speakers across four concurrent session rooms, then held every cue, transition, and timing call on the day, from doors open through closing remarks.

/The moments that mattered

A room asked if its craft was dying. The answer was no.

The theme set the room before a single speaker took the stage. “Evolution: The Journey from Now to Next” wasn't just a conference slogan — it was the question that opened the day. ProductBC asked the room: is product management dying? The answer, unanimous and energized, was no. It's changing. And a room of 300 people who'd shown up on a Friday to talk about their craft proved the point just by being there.

The technology infrastructure was new territory for ProductBC. The Pheedloop mobile app — introduced for the first time at this conference — became the central nervous system for the day: schedule navigation, session updates, real-time communications. When the app's push notification timing created some early-morning confusion for commuting attendees, the fix was already in the communication protocols we'd built. The tool worked. The day held.

The sessions that hit hardest were the ones that created space. The discussion groups — small, peer-led, conversation-first — were called out repeatedly in post-event feedback as the highlight of the day. The “Going Full-Stack” and “Breathing Room” sessions each earned 100% “Very Relevant” ratings. The 4.37 out of 5 overall satisfaction score, and the sentiment from every debrief participant that this was ProductBC's best conference to date, reflects that it landed.
