/The brief

Two venues, one delegation, zero margin for error.

Mayne Assembly worked closely with Leadership and supported the operational planning and delivery of a multi-venue international sporting event hosting VIPs, diplomatic guests, and 500+ programme participants — a zero-margin-for-error environment requiring total advance readiness and real-time coordination across a large, collaborative delivery team.

The Invictus Games Vancouver Whistler 2025 ran February 8–16 and featured 534 competitors — wounded, injured, and sick serving members and Veterans from 23 nations — showcasing resilience, determination, and camaraderie through 11 adaptive sport competitions across Vancouver and Whistler.

/What we assembled

Ceremonies built with the world's best production partners.

We advanced master project plans, risk trackers, and cross-functional communications across a large, collaborative delivery team spanning both ceremonies. For the opening, we worked in partnership with BC Place, the production team at Patrick Roberge Productions (PRP), and a roster of other notable vendors; for the closing, that same partnership model carried through with Rogers Arena. Guest journey design — from invitation suite to post-event follow-up — extended across several notable engagements tied to the Games.

Once the ceremonies wrapped, we facilitated post-event evaluations and best-practice documentation, capturing what worked for future productions of this scale.

/The moments that mattered

40,000 people, one anthem. Nine days that closed exactly on cue.

A sold-out crowd of 40,000 filled BC Place for the opening ceremony — the moment 534 competitors from 23 nations walked in as one delegation, wounded, injured, and sick serving members and Veterans, there to compete on their own terms. At that scale, in a venue built for that kind of moment, there is no room for a plan that only mostly works.

The closing ceremony, staged at Rogers Arena, carried its own weight: for the first time, Coldplay's Chris Martin performed the official Invictus Games anthem, accompanied by a choir, closing nine days of adaptive sport with a moment built to match everything that came before it. Coordinating a production of that scale across two venues — BC Place for the opening, Rogers Arena for the close — meant holding master project plans, risk trackers, and cross-functional communications tight enough that the ceremonial teams at PRP could focus entirely on the show.

The Games closed having achieved a balanced final budget of $63.2M against every operational demand a multi-venue, international, VIP-heavy production could throw at it — the kind of outcome that only happens when the advance readiness matches the size of the moment.
